Executive Assistant

We are looking for a highly organized and detail-oriented individual to fill the role of Travel Personal Assistant with additional responsibilities for providing business support to the manager. The ideal candidate will have a strong background in travel coordination and administrative tasks and will be ready to participate in business trips together with the manager. This position requires excellent communication skills, a proactive mindset, and the ability to handle multiple tasks simultaneously.

Responsibilities:

Travel Coordination:

Plan and organize the manager's domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries.

Research and provide recommendations on travel destinations, activities, and services.

Manage travel budgets and expenses, ensuring cost-effectiveness and adherence to company policies.

Coordinate visa applications, travel insurance, and other necessary documentation.

Handle last-minute changes and emergencies during travel, providing quick and effective solutions.

Administrative Support:

Act as the primary point of contact between the manager and internal/external stakeholders.

Manage the manager's calendar, scheduling appointments, meetings, and travel arrangements.

Prepare and edit correspondence, communications, presentations, and other documents.

Conduct research and compile information for various reports and presentations.

Handle confidential and sensitive information with discretion.

Organize and maintain efficient filing systems, both electronic and physical.

Business Support:

Assist in coordinating and planning business meetings, conferences, and events.

Collaborate with other team members to ensure seamless workflow and communication.

Prepare meeting agendas, take minutes, and follow up on action items.

Support special projects and initiatives as assigned by the manager.

Prioritize and manage multiple tasks to meet deadlines.

Qualifications:

Proven experience as a Personal Assistant or in a similar role.

Strong organizational and multitasking skills.

Excellent written and verbal communication skills.

Ability to maintain a high level of confidentiality.

Flexibility to adapt to changing priorities and schedules.

Knowledge of business support functions is a plus.

Education and Experience:

Bachelor's degree in Business Administration or a related field is preferred.
Previous experience in executive assistance or business support roles.
